ACCOUNTANCY GUIDES · CONSULT EFC

What records should you send your accountant?

Start with the agreed information request, reconciled bookkeeping and supporting evidence. The exact records depend on the service and reporting period.

Agree the period and purpose first

Preparing annual accounts, a VAT return and a cash forecast require different information. Confirm the period being covered and the purpose of the work before gathering files. Ask how the accountant wants the material organised and how sensitive information should be shared. A labelled set of records is easier to use than a collection of unexplained attachments.

Build a practical record pack

For a year-end preparation discussion, useful starting points may include bookkeeping reports, bank records, sales and purchase invoices, debt balances and explanations of unusual entries. The accountant should tailor the request to your circumstances. A limited company must keep financial and accounting records; GOV.UK explains the underlying responsibilities in the source below.

Make the unresolved items visible

Do not quietly omit a missing statement, unreconciled account or uncertain transaction. Create a short issue list with the period, amount where known and the person who can help. This allows the work to be prioritised and makes it easier to distinguish a missing document from an accounting judgement.

Use a repeatable handover

Illustrative workflow: organise records by reporting period, list the main files in an index and keep outstanding questions in one tracker. Avoid sending employee details or complete financial records through an initial website form. Agree the sharing method and permissions before providing sensitive material.
