Start with the decision, then choose the report
An owner deciding whether to hire needs a different view from a manager investigating falling project margins. List the recurring decisions and the measures that inform them. That list should determine the pack, rather than adding every available software report. A concise report with consistent inputs can be more useful than a long unexplained download.
Keep the close process visible
Agree the information cut-off, reconciliation checks and treatment of invoices arriving late. Identify estimates and the person responsible for resolving them. A month-end pack should distinguish incomplete information from a genuine change in performance. Repeating the same open reconciliation each month is a control issue, not just a presentation issue.
Compare performance on a consistent basis
Show the current month and year to date, alongside appropriate budget and comparative figures. Explain material variances using evidence about prices, volumes, mix, costs and timing. Do not change accounting treatment or KPI definitions silently between periods. A reader needs to understand whether a movement is commercial or a change in measurement.
Connect profit, the balance sheet and cash
Review trade debtors, creditors, stock, financing and other material balances. A profit improvement can coincide with cash pressure where customers pay later or investment increases. A cash forecast extends the discussion to upcoming commitments. The pack should explain these links without treating a forecast as a certain outcome.
A practical reporting pack checklist
| Include | Review question |
|---|---|
| P&L with budget and comparatives | What changed in sales, margins and overheads? |
| Reconciled balance sheet | Which balances need explanation or action? |
| Aged debtor and creditor summaries | What is overdue, disputed or due soon? |
| Cash movement and forward view | Why did cash change, and what commitments follow? |
| A small set of operational KPIs | Are definitions stable and linked to decisions? |
| Action log | Who owns each action and when will it be reviewed? |
