AI bookkeeping: where human review still matters

Automation can assist with extracting and organising records, but outputs still need checking against the evidence and the business context.

Separate extraction from judgement

Reading a date or amount from an invoice is different from deciding how the transaction should be treated. A tool may produce a plausible classification without understanding the business purpose, reporting period or missing evidence. Use the result as something to review, especially where an item is unusual or material.

Build a review queue

An illustrative workflow separates routine matches from items needing attention: missing documents, possible duplicates, unfamiliar suppliers and unexpected amounts. Record the question and the evidence used to resolve it. The objective is a traceable process, not acceptance of every suggested entry because it looks tidy.

Protect the information first

Before uploading records to an AI service, check the tool’s data terms, permissions and retention settings and whether its use fits your organisation’s arrangements. Avoid putting confidential business or employee records into an unapproved tool. This guide does not imply that Consult EFC uploads client records to an AI system or offers a particular AI product.

Keep a person responsible for the output

Agree who reviews exceptions, approves corrections and checks reconciliations. A useful automation saves effort while preserving an explanation of the final figures. If you want to improve a bookkeeping workflow, start with the records and control process, then consider where a tool might help. Software choice and implementation can be discussed separately from routine bookkeeping.
